Time tracking and job reports

Your technicians clock in from the job site, and the job report is signed directly from there.

Hours are recorded by pressing a button, the job report is filled out where the work is done, and the client signs on the screen. At the end of the month, each person's working day record appears in the official format required by the Labour Inspectorate, without anyone having to manually check it.

The issue

The month is reconstructed manually

Your team's hours and the work they performed are the same working day, but they travel along different routes and do not converge until payment or when someone asks.

  • Hours are recorded in a notebook, and on the 30th, they are reconstructed from memory.
  • The job report is handwritten in the van and re-typed in the office.
  • Photos of the intervention are on the mobile phone of the person who was there, and client confirmation is nowhere to be found.

A day, from beginning to end

What is recorded between someone arriving and leaving

Five entries, and none can be rewritten later. That's exactly what makes a record into evidence.

  1. Clock-in/Time entry

    Clocking in is done from the mobile phone, and it verifies that the person is at the location assigned to them.

  2. Break time

    Start and end times, each with their own hour. The day's hours are only deducted.

  3. Work

    The report is filled out where the intervention took place: tasks, materials, expenses and photos.

  4. Signature

    The client gives their approval on the screen, with their name and ID.

  5. Clock-out/Time entry

    Closes the day. If something is wrong, an issue is opened instead of changing the time.

Royal Decree-Law 8/2019 requires each person to record their daily working hours and retain this information for four years. This is what happens at the end of the month, without anyone transcribing it.

What they do, and why it is done this way

Clock-in cannot be altered
Nor by the company or the person who clocked in. A forgotten entry cannot be corrected by re-writing the time: a correction request with its reason is made, an approver approves it, and both are recorded. This is what makes the record valid as evidence, not just a spreadsheet.
Works without coverage
In a basement or in a building with no line, the clock-in is done just the same. The record is saved on the phone itself and only uploaded when the network returns, without duplication even if the attempt to send it is repeated.
Location, only at clock-in
Consulted at the exact moment the button is pressed, to check the location. There is no continuous or background tracking, and no biometric data is collected.
The job report is valued
Materials with their quantity and price, expenses and kilometers. The form signed by the client is the same as the one you invoice with.
Five profiles, not two
Owner, administrator, supervisor, employee and auditor. The supervisor sees their team and not the rest; the auditor reads everything and does nothing.
One person can work for multiple companies
Switch between them without leaving the application, and the data of each company is isolated from that of any other.

Frequently asked questions

Does this count as a time record for an inspection?

This is why it's done this way. It records the daily working day of each person; the entry cannot be modified or deleted, it is retained, and printed on the official form. What no program can do for you is clock-in: that has to be done by your people.

Do you know where my team is at all times?

No, and it's not a toggleable option. The location is only checked when someone presses the clock-in button, to check if they are in their base. There is no continuous or background tracking.

What happens if someone forgets to clock out?

An issue is created. The original time is not rewritten; the person requests correction with their reason and a manager approves or rejects it. In the end, the time that was clocked in, the time that was corrected, and who approved it are all recorded.

Does it work on a job site without coverage?

Yes. The clock-in is saved on the phone and synchronized when the network returns. If the delivery is retried, it does not duplicate.

Is it only used on the mobile?

No. The same application is used on the mobile to clock in and create reports, and on the computer to supervise, approve, and generate the monthly record.
